View Full Version : Need order form for ordering prints, Urgent

I have a shoot today and the clients will decide on their package/print order once they see the pictures.

What I need is an order form. Something where I can write the photo number under/beside each size that they want it in. Something to make it easy for ME to have the enlargements made and also easy to calculate the cost.

If anyone has anything like this please post ASAP, I'm trying to make my own but having trouble deciding on the best layout.

Shouldn't you post process the prints before they see them?
Thats what I do.
Then just number them like this:
Smith1
Smith 2
etc last name is the file name of post processed pics.
Keep them all in the same file.

Yes, thank you Sonya. I was planning on doing something like that, of course I will PP them first, don't want to send them running before I make em look pretty:), but when it comes to them ordering, I would like to have a sheet of paper on which they/ or I can write the photo number, size and quantity.

I've made my own make shift one for the mean time, but if anyoen has a more professional looking one that I might be able to use? thanks.

Well if it were me I would tell them to give you a few days and they can see the proofs.
That way you are not rushed and they will gladly wait.
Then you can number them and give them a order form to fill in what they would like to order.
Show them package pricing and like buying a 8 x 10 seperatly. Give the options to see the package savings over the two things.

I have found the only way I can keep this straight is to make a copy of each post processed pic name it with the persons last name and Start like Smith1, Smith2, Smith3 Then I put all on a CD for myself.
How will you show them the Pics on CD on computer or a webpage?

This way you are only showing them possibly the best 20- 25 shots if you give them to many to look at they will just be undecided on what to pic.

Now making the order form is another thing LOL. I dont have a good one yet I am working on that.

I think what would be best is your name on the top a place for their names then the columns and rows.
So they could put for instance:
Smith 1 ( 2) 8 x 10's Color
-------------------------------
Smith 2 (3) 5 x 7s B & W
---------------------------------

If you figure the form out let me know since I am still working on this so far emails worked fine on this but there has to be a better way LOL.

Thank you so much Sonya, some good ideas there. I was planning on doing all the pp and having them come back in a few hours (they live out of town and came into town for the day) but I think you are right with a few days later. that way I'm not rushed and I have plenty of time to make any changes.

I was going to have them come in to my home studio and view either printed 4x6 proofs or view them on my computer monitor. (I don't think they have a computer/internet at home from the sounds of it)

We were going to go to the park but it rained this morning, although it has stopped its still cold and a bit windy out, so they would prefer to just do some studio shots. Which is fine, lets me stay home:) and I have a background and lights, so no problem.

I told them sitting fee upfront, and then they can pay for their prints when they pick them up or at the time of ordering (if they prefer to have it mailed out to them). Already have a little receipt book I picked up.

This is my very first shoot (haven't even registered business yet, soon though) but I'm assuming I can get away with not charging any tax as this is a first shoot and not technically a business yet..... hopefully that's "allowed".

Thanks for your help and advice. They should be here soon, just waiting for the third sister to meet up with them here in town.

Heres where my confusion comes on on taxes.
Ok if we order printing from out of state theres no sales tax.
But if we sale them in our state there is sale tax.
So this would mean we would have to get assume name certificate as well as a tax id number for our state.
Pay quarterly sale tax on what we sold here.

Now if we could buy supplies etc wholesale we could use that same tax id number to do that but not sure theres anywhere who sales stuff wholesale.

I am only doing outdoor portraits at this time I will get into the studio stuff later on. I dont have lights or backgrounds at this time.

I live in Texas so weathers pretty good most of the time. Hot but clear and decent days lots of sunshine.

I have my domain name already and I am working on my website. After I get that done I will get my business cards designed and my order forms.
I will get the assume name certificate and tax id soon. I have had one before and they are a pain in the butt to deal with.

Right now I am trying to decide if prices should go on the website.

We are building a new barn outside and the front will be designed so I can use it for a backdrop for some pictures.

Got a laptop? I'd enter a new Excel invoice for each client & it would automatically add up the prices & tax for each sale.
Plus, RSP could rename & show an "adjusted proof" in about 1 minute.
