I'm just wondering how you send correspondance to brides over the internet. I live in a rural area, and so I take in a fairly wide area of brides, so I try to send them as much info over the internet, so that when we meet to go over things, we're both fairly confident that they will book me. I've just been responding to their email with sort of a basic email with my packages and offerings, but I'd kind of like to spice it up a bit. I'm just wondering how you send information to your brides over the internet to make things look all nice and fancy. Is there a type of software, do you just design something as a word document and then send it as an attachment? Any help you could offer would be great,
Thanks,
Heather

If I communicate via email then it is after the bride (or groom) contacted me with interest.

I thank then for their interest in my photography and ask then if they would like to come and meet with me so we could talk over details and they can see my portfolio.

I dont want to make it too formal, I want the couples to feel good with me, knowing that they can be themselves. I email them as I would email a friend, nothing fancy but friendly and relaxed

After the initial contact from the B&G - I have a bit of a template email that i change depending on the situation, and I also include a splash sheet of our packages and prices etc and a bit about what we do. I also offer to meet with them at no obligation to them, so they may view our portfolio :)

I have 2 standard responses (that get tailored a little for each contact) one saying unfortunately were booked already and directing them to our BoundlessInfo wedding index where there are other photographers listed and then another saying were available, would love to discuss their requirements with them, runs through briefly our standard package and the way we work, and then offers some dates when were available for a client meeting which we offer to do at the venue (very useful if we havent shot there before), their place or ours.

I have been thinking this week about maybe having some brochures or leaflets done or maybe a DVD that we could either send out as a pack or give to them when we meet but we wont do anything like that until we have shot more weddings and have more material to work with. Think were upto booking 35 or something now but weve only shot 3 so far, 4th on Friday :)

Standard responses, I add answers to their questions. If they leave a number I call them first and follow up by email. I book a lot of people overseas coming home for their wedding, that's done by email and sometimes a phone call.

I thank them, say if i'm available or not, give a run down of my prices, answer any other questions they might have asked, give a link to an example gallery, an offer to meet and a simple 'look forward to hearing from you' sign off.
