Hey guys. I have been asked to shoot pics of about 350 kids getting a head coach's autograph. Any ideas on how you would organize this, so you can get a name with each face at the end of the day when you are processing and sending them out to be printed?

If the kids all belong to one group, shoot and print the pictures and then give them to the person in charge of the group to sort out. Otherwise you'll need an assistant getting names as they pass through the line right after you take the picture. Make sure you put the frame number beside the kids name. Once they see what your are doing they will come directly to you after you take their picture and things should run smoothly. The last thing you want is having everyone waiting on the photographer.

If the kids belong to one group I'd shoot everyone, get the prints and then give them to the person in charge to sort out. Otherwise you'll probably need an assistant taking names (make sure they write the frame number beside each name) after you take the pricture. Once they see your routine they will come to you with no questions asked. The last thing you want to do is have the process slowed down because of the photographer.

Graduation comes to mind - the kids are in an order of some sort and get there pic taken when being handed the diploma and the photog is off to the side shooting away. It's in perfect order of the ceremony. If there's a way to organize it that way do it, if not it's not going to be fun to organize. You'd need a delay tactic during the autographs as it only takes a second to sign one quick and onto the next kid. Even with an assistant it's tough. Maybe an assistant with a video camera recording names/faces as they walk off would be quicker than writing it down.

Get a small digital audio recorder and after you take the shots ask the kid their name and record their answer. Your audio playback should then match the order of your photos. You can even have them spell their name if you are concerned about getting everything exact and you could also say the file name and get it recorded with the name if there is a chance that you might not get everyone's name on the recorder.

You'd need an assistant for this - while he's recording the kids name there's another kid doing the meet and greet so he'd end up missing shots of that kid. It only takes a few seconds to sign an autograph as in this type stuff it's a one per kid deal so if he stopped to get a kids name he'd miss a few kids at least.

It is much easier with an assistant but can be done solo without much trouble assuming you have easy access to where you set up. I did this exact same thing last fall with about 250 kids. I set up at the end of the table where they were doing the signing with a 24mm lens, took the photo and as the kid left the table, since they walked right past me, would ask them their name and went back to shooting the next kid. I set my zoom H4 recorder on the table next to me and never had to take my hands off the camera and after about five minutes the kids figured out they needed to say their name after the photo so it became very easy to manage.

However, just because it is possible does not make it the best of suggestions and fully agree that having an assistant will make your life much easier regardless of the method used to capture names.

Hello, do you have to give them all prints.. can you print them out then go back at another time and make the sale...
Or can you post onto a web site and have them buy want they want?
Are you collecting money that day too? this is a lot of work for one person...
