I couldn't believe that this is coming from another local race (cycling) organizer.... How should I tell him that I would prefer to be paid without offending him. Tactful in a way that he would want to actually pay for the shots. He wanted to use 3 or 4 actual race photos from last year to promote the 2012 edition of the same race.

I don't know the whole situation of the races, but if they are road events they are probably put on by a cycling club as required by the national organization to keep the club's license. If this is the case then they are not making a profit from the race. If this is a private promoter then he/she is making a living from the event and paying rent or other fees for use of the venue. I assume that you are selling photos from these races, then did they hire you to shoot it and/or did you ask permission to shoot it. If not then you are trying to profit from their work of putting on the race and in a way trespassing,I would think that giving photos to help promote the race is the least you could do for them. After all promoting the event will or could benefit you, if by your photos more riders participate next year.

I know all about the local cycling scene. I used to race as one here for 4 years. I have been doing spec work. The race venue is a local public park. All the races starting at 630am. Other than racers, I am probably the only photog who has been shooting the races consistently last year. Everyone knew where to find photos. Photo credits do not mean anything to me. I don't want to burn any bridges. I respect the race organizers too. I did couple of favors for one of them because he organizes pretty much all the local races in the entire season. This organizer is from another club. I have to sleep on this. Yeah, you have a point. Maybe couple of small resolution shots.....

Too funny! I wonder if he'd do that same spiel for photographers for nothing...

Also, what sort of "releases" one would need to allow a photo to be used by the organizer to promote the race, and the photo contains racers from various teams? I normally sell my photos to the racers. I assume once the photo is being used for a promotion, it becomes commercial... In my case, probably the racers featured in the photos won't concern too much about the release issues.

How many images do you sell ever season?

If you're making good money off the series, I don't see a huge problem in helping promote it.

Image editing and C&C always OK

"Good money" is all relative...:) No, I can't make a living shooting the races... Yeah, I will give them couple of small resolution shots.

Most, but not all races have a clause in the race release or entry stating their photo will be taken. If I 'give' images to a race promotor I make them aware that they might need a model release if used for promotion, but most riders around here being amateurs are happy to see they face on a race flier. If I sell images to anyones sponsor I let them know that they will need a release, which most of the time is part of the contract between the rider and sponsor.

Perhaps in exchange for a banner posted at the race site promoting your work? Or a stack of business cards on the registration table?

How much are these banners really worth?

I have one at the local hockey team, on the rink. Does nothing for me. Infact, most don't notice the rinkboard unless pointed them out it seems.
