Offered a gig shooting a festival -- question about rights to images

I recently heard about a music and beer festival at a local area hotel this summer, and I was interested in shooting. I reached out to the general manager of the venue, and after they had a chance to peruse my slowly-expanding port, they indicated that they'd be willing to have me come shoot. I end up getting free access, and I'm personally pretty excited about this.

One of the things that came up was that I would grant the venue publishing rights for credits, which I have no problem doing. My question is, I want to reply and advise them that I accept their terms, but I want to clarify that while I would be granting them publishing rights, I would actually retain full copyright to the images.

Am I overstepping my bounds, or am I being realistic? I'm not getting compensated (besides free access to the festival, which is nice), so I would think that this would be a reasonable request. Now, if they decided that they were going to pay me to do this, obviously things would be different.. I guess I just need some feedback before I respond.

Yeah, I figured there would need to be a contract, but I think we'd need to agree to the terms that would need to go into the contract before we could actually sign said contract..

I don't think you're overstepping any bounds. Your contract can state that you own the copyright to the image, and you grant them the following usage rights: Publish in magazine XXX for xx/xx/2012 issue; Flyers for PR for 2013 beer festival; etc.

Yes. Just say in the agreement or email:

"All images created are Copyright 2012, XYZ Photography. Images will be provided on CD to ABC Hotel within 5 days. XYZ Photography provides ABC Hotel with a license to use, publish, and distribute the images. All Images will be 6in by 4in 300 dpi images with watermark and include the photo credit of "Photo by XYZ Photography"."

I tend to also include a text document in the zip file / cd / usb key that I give them with the images which also outlines the usage information.

The one fly in the ointment is model release forms. If you take photographs of people attending the event the company wont be able to use those images for advertising/promotion without the person's permission.
