Little league team photos

I have been asked to submit a bid to our local little league about doing team and individual photos in a few weeks. I've never actually submitted a bid for a photography job before and not real sure what all I should cover...any tips in this area would be greatly appreciated. I've got % of sales to league, team photo gifts to coaches, products and packages offered, about location of shoot...Anyone have a sample of a bid that you wouldn't mind sharing?

How do you handle collecting the money? Do you, the photographer, collect the money and THEN give the league their cut? Or does the league collect the money and THEN give you your part? (I ask, because when my kids have played and we ordered pics we were always told to make the check out to the league)

How do you go about claiming it on your taxes? Do you claim 100% of the sale or only your cut of the sales?

Obviously it can be done either way. When I coached baseball the parents always made checks out to the photography company, whom I'm sure then gave a kickback to the league. It might not hurt to ask the league how they prefer to handle it before you submit your bid.

Everything you take in is income, and whatever you pay back to the league is an expense.

I am the president of a sports printing Cie and we have about 150 photographers using our system. My best customer are the one who are the most organize. If you want to be successful you need to answer questions the organization will base their decision on.
1-You need to demonstrate that they are in good hands with you. So, if you can, show them past work, similar contrat, the design you will be using...
2-Explain them how you plan on doing your photo day. Will you distribute purchase order prior to the event, will you have a table, tent ... How many people will take orders on picture day, will you show the picture prior to the sell, your payment method (will you accept credit card payment with a square?)
3- Present your packages and pricing. Make it simple, to many choices is sometime to confusing.
4- Put your delivery terms on it and respect what you write, the biggest problem with most photographer is delivery time, needs to be under 3 weeks, 2 weeks is better.

Also here is a REQUIREMENTS SUBJECT TO POINT RATING SAMPLE

The Proponent/Bidder to shall demonstrate:
• Competitive pricing of the player/team combo for all players as paid by association; (12 points)
• A creative and unique 8 x 10 player/team combo; (12 points)
• Competitive pricing for members for additional individual player photos and
packages; (12 points)
• Creative and unique options for additional individual player photos and packages; (12 points)
• A proven track record of providing individual and team photographs to a large minor sports association; (12 points)
• the ability to provide DVD of jpg images for all teams for use by LMHA; (10 points)
• Confirmation that photography sessions can be provided during the timeframes required
by the Association; (10 points)
• The timeliness of photo availability and delivery; (10 points)
• The ability to provide the rebate to the association on additional sales to LMHA (10 points)
