My Beauty pageant experience... or shall I say, Nightmare!

Before I even get started, let me tell you a bit about me. I suppose I fall into the "ambitious, semi-advanced amateur" category. I'm NOT a pro.. I DO however have paying clients that come to my home, many of which have become repeat clients. I know i'm going to get about 100 replies telling me how I was in the wrong... but it was a learning experience, and i'm sharing it simply for educational and discussion purposes.

About a month ago, a coworker approached me and asked if I'd do some headshots of her daughter for a pageant she was entering. I had done work for her before, and she was happy with my quality and prices. The session went well, and before she left she asked if I'd be interested in purchasing an Ad in the pageant brochure. For $50 I figured it would be a good investment, and i bought a half page ad!

T minus 4 days to pageant time, I receive a phone call from the pageant coordinator.

"This is xxxxx xxxxxx, and I'm calling in regards to an Ad you purchased from one of my contestants!"

My first assumption was that something was wrong with my Ad or the formattng of it. Read on....

"I'm in a bit of a perdicament. My photographer just called and cancelled, so i need someone to cover the pageant on Sunday. I was hoping you'd be interested!"

She goes on to state that she would like to purchase a CD of the crowning/winners/etc. for promotional use. During the "off-times" she wants me set up as a vendor with a mobile studio, selling packages to the contestants. She also says, and I quote "I want to buy photo packages to give to the winning contestants of each category... 5 winners in all"

I was free that day, and from the sound of it, there was potential to make a decent amount of money. I asked if I could meet with her to discuss a few formalities, but she said she was too busy preparing. If I had any questions, they could be sent to her email.

How would YOU proceed from here?

I'd send her a contract. Include an hourly rate and the cost of each photo package she waqnts to purchase. Make sure she signs the contract before you show up. This way your provided exactly what you want to be paid with no hidden fees.

I always charge the event producer for my services $200 per hour with pictures delivered on CD as required. As an extra cost service, I will create a SmugMug gallery for additional print purchases with preprinted cards to get customers to the gallery. I would never do event photography where I am selling directly to attendees since there are so many factors out of your control concerning print purchases. I do not mind giving the client a percentage of print sales, but I would never base my event income on them.

My guess is that your situation did not work so smoothly.
