Delivery of corporate shots?

I've been asked to shoot the business owners and directors of a local biotech company. Small company, owned by a couple of brothers. They want some headshots for their website and media usage.

I was planning on delivering some JPGs in a suitable web resolution (800*800 say), and figuring in about 30 mins per shoot (which would be generous) plus setup time.

Should I be concerned about delivering them a JPG? Is there anything I'm not taking into account?

You should have a limited use license agreement that stipulates the way they can use the image. This is very common practice in shooting for other businesses and giving them digital files. That way if they use it outside of what is agreed to you can go after them for breech of contract.

Thanks - I actually like SmugMug's commercial use description, and considering I'm on the verge of buying an account with them and moving over, I think I'll start out with this.

As an additional (and I hate these questions too) - I'm a bit stumped on how much I should charge for a commercial use file. I have my personal use file prices fairly set, but how much should they change when it becomes commercial?

Fotoquote uses historical pricing data from photographers all over the country. It gives a range for web site use, 1 year, < 1/4 screen, at $84 to $169 per image. That's for usage only, and your time, expenses, creative fee, etc, would all be additional. This should give you some idea on where to start.

Thank you - thats *extremely* helpful! I was thinking in the $100 range, per JPG, plus sitting fee. They intend on using these as corporate profile shots and linked in profile shots.

I don't size images for specific uses to business clients. I specify the licensed uses in the contract and give them full-resolution images. If they later desire more uses, it just takes a bit of communication (and payment) to make that happen without me having to do any re-production. I don't try to control their uses by format size--I control their uses by contract.

I do both depending on the situation. When I create the master images, my post process automatically creates both a print resolution version and a web version. Typically I deliver both to the client unless they only purchased web rights. In that case, they only get the web version. If they later want to license additional uses, its trivial to upload the images to our FTP site when they contact me about the new licensing.

Only providing web resolution helps prevent innocent (or intentional) infringement, but the contract is really the enforcer should it happen.
